The first visit to a building is half repair and half survey: what is installed, how old it is, and what has already been patched. That record is what makes the next call short.

Maintenance
Twice a year, written down
Cooling before the summer, heating before the cold. Filters, belts, drains, coils, controls and the safety checks, recorded per unit with what changed since the previous visit.
It does not prevent every failure. It catches the inexpensive faults early and tells you which unit is going to need budgeting for.
